Head of Operations @ Koast.ai

People and contractors. Hiring pipelines, contractor agreements, onboarding docs, payroll and payouts, performance check-ins. As we go from a handful of contractors to a real team, you will build the system that makes each new person productive in their first week.

Finance operations. Bookkeeping hygiene, monthly close with our accountant, cash forecasting, vendor and tool spend, partner payouts (Whop, affiliates, referral partners). Not the CFO seat. The person who makes sure the numbers are right and the CEO sees them on the first of the month.

Partnerships and vendors. Contracts, renewals, compliance items (Meta platform terms, data policies), and the operational side of partnerships like Whop and Flex: who owes what, by when, and whether it happened.

Systems and automation. You will look at every recurring manual task and ask whether Zapier, an internal tool, or an AI agent should be doing it instead. Then you will build it or spec it for someone who can.

What you will do week to week

• Run the weekly ops review: pipeline, churn, cash, hiring, blockers. One page, numbers first.

• Use Koast every day. Run onboardings in it, triage support tickets against it, and bring engineering the patterns, not the anecdotes.

• Translate the CEO's quarterly priorities into a plan with owners and dates across sales, support, success, and engineering, then hold each function to it.

• Own the onboarding calendar for new customers and new hires so nothing waits on the CEO.

• Keep the sales pipeline, CRM, and billing in sync and catch the exceptions before they become refund requests.

• Draft and manage contractor agreements, vendor contracts, and partner order forms.

• Close the books monthly with our bookkeeper and flag anything that looks wrong.

• Build the automation or the SOP for any task you have done more than twice.

• Write the updates: one for the CEO, one for the team, one for the partner. Each one short.

• Say "we do not need this tool" and cancel it.

What sets you apart

• You have been the operator behind a founder at a company that went from 5 to 50 people, or from $1M to $10M, and you built the systems that made that possible.

• You know performance marketing or agency operations from the inside. You understand why a media buyer cares about a delayed ad account approval and what it costs when onboarding slips a week.

• You are fluent in the modern ops stack (CRM, billing, bookkeeping, contracts, automation) and you configure it yourself rather than waiting on a consultant.

• You are hands-on with software. You learn a product deeply, you can read a Shortcut ticket and a PostHog funnel, and engineers trust you to bring them a real problem instead of a forwarded complaint.

• You have sat between sales, support, and engineering before and kept all three moving in the same direction without being the boss of any of them.

• You bring numbers to every conversation and you are comfortable telling the CEO the number he does not want to hear.

• You write tightly. Your SOPs are shorter than everyone else's and people actually follow them.

• You are comfortable owning things nobody assigned you, and comfortable letting go of them when it is time to hire someone better.

Requirements

• 5+ years in operations, revenue operations, or chief-of-staff roles at a B2B SaaS or agency, including at least one early-stage or high-growth environment.

• Hands-on experience with a CRM (GoHighLevel, HubSpot, or similar), Stripe or comparable billing, and QuickBooks or comparable bookkeeping.

• Experience managing contractors and vendors, including drafting and negotiating agreements.

• Familiarity with Meta ads, agency workflows, or ad-tech is strongly preferred.

• Demonstrated experience working directly with a software product and an engineering team: filing and prioritizing tickets, running QA or UAT, and using product analytics to make decisions.

• Comfortable with Zapier, Make, or scripting light automations. Experience directing AI tools or agents to do operational work is a plus.

• Available full-time during US business hours.

How You Work

Small team, high trust, no theater. Decisions are made with numbers, written down, and revisited when the numbers change. These are the values we run on. If they sound like you, you will fit right in.

• Mastery. "Good enough" is where you start, not where you stop. You keep sharpening the craft: tighter systems, cleaner numbers, fewer surprises.

• Push the Boundaries. You take on the ambitious version of the problem. Most ops teams manage the chaos. You want to build the company that does not have it.

• Embrace the Challenge. When a customer's onboarding breaks at 9pm, you are in the thread, not waiting for the morning standup.

• Responsibility. You own your commitments. If a date slips, everyone hears it from you first, with a new date attached.

• Dedication. You dive into the hard, unglamorous problems (messy books, a broken handoff, a contract nobody read) and iterate until they are solved.

• Collaboration. You write clearly, share what you learn, and make sales, engineering, and customers faster for having worked with you.

Why Koast

• Early-stage impact. You will be one of the first ten full-time employees. How this company runs at 50 people will be the system you built at 10.

• AI and ads at scale. You will operate at the frontier of AI-driven media buying, alongside some of the highest-volume ad teams on Meta.

• Real upside. Bootstrapped and profitable, so the equity means something. Full-time salary, performance bonuses, paid time off, and a vested equity grant that grows with the seat as you move toward VP of Operations or COO.

• Remote and flexible. Work from anywhere, on your schedule, during US hours. Just make sure the machine runs.

How to apply

Record a Loom, five minutes or less, covering these five things in order:

• Show us a system you built. Screen-share a process, dashboard, or automation you designed that the company still uses. Walk us through why it exists and what it replaced.

• One thing you would kill. A process, tool, or meeting you inherited and shut down, and what happened after.

• One number. A metric you owned, where it was when you started, where it was when you left, and what you changed.

• One handoff you fixed. A time sales, support, and engineering were not aligned, what it was costing, and how you closed the gap.

• Where Koast fits. Sixty seconds on what breaks first when a bootstrapped SaaS company doubles headcount, and what you would do in your first 30 days here to prevent it.

Email the Loom link and your LinkedIn or resume to jobs@koast.ai with the subject line "Scaling with Koast" .

No cover letters. We watch the Loom first and read the resume second. Applications without the video are not reviewed.
